Inactive and Archival Records Submission System

Welcome to the Records and Archives Office (RAO) online submission system.

This online database system is designed to enable the user to enter details of items required/requested to be transferred to inactive storage or archived.

Once entered the RAO will verify the contents and check the disposal codes. Pending any modifications required by the user the information will then be transfered to the main database (not yet available via the web). This will then remove those approved items off this register. This register is purely for the submission of inactive records only.

Important Information - Please Read

All staff must ensure that they adhere to the following requirements before submitting any items to the Records and Archives Office for storage, otherwise items will be returned to them and/or the items will NOT be accepted into storage.

  1. Before packing any items for storage staff must check within the approved Disposal Authorities to determine if the items they want to store are actually required to be stored.
  2. Each item listed in each box must have the correct RD Reference next to it. The reference codes can be obtained from the approved Disposal Authorities.
  3. The trigger date has been determined for each file/item where the trigger date is the date as determined by instuctions for the code chosen from the Disposal Authority.
  4. Records that are still active or semi-active are not to be placed in storage, if the records are less than two years old they cannot be placed in inactive storage, they must be maintained by the area.
  5. Only approved storage boxes may be used that can be ordered from the Records and Archives Office. An order form is available.
  6. Documents in lever arch files or box folders should be removed from those housings and the contents placed in suitable manilla style folders to maximise storage within each box.
  7. Boxes must not be over packed, there should be sufficient room to place your hand in the box without effort or damage to the box or contents and the boxes must not bulge and lids must be able to be closed properly.
